Positions:
1. PROCUREMENT ASSISTANT (GLOBAL SHIPPING) – 8 MONTHS CONTRACT
Job descriptions:
- Assist in purchasing, planning, contracting and maintaining governance to ensure timely and cost effective delivery of global shipping services, within the assigned area of operation and in accordance with established processes, contributing to the effective delivery of WHO commodities to beneficiaries worldwide;
- Follow up on all outstanding deliveries, ensuring compliance with national import/export requirements;
- Plan and consolidate pipelines, manage freight orders, manage operations and delivery, quality control document accuracy and readiness throughout;
- Develop and maintain a thorough understanding of the assigned area of operation, monitor air and containerized freight markets and trends, collect and analyze data through market analysis, research and recommend actions to improve shipping performance;
- Assist in providing technical support and guidance to other divisions and Country Offices;
- Participate in the on-going review of internal processes and procedures and propose improvements to increase day-to-day efficiency;
- Ensure compliance with WHO administrative and reporting processes;
- Perform other duties as required.
Job requirements:
- Minimum 5 years of relevant working experience in the area of procurement/shipping and/or administration with completion of secondary school or;
- 4 years with a relevant first level University Degree or;
- 3 years with a relevant Advanced University Degree.
- Ability to handle and prioritize high volume of workloads, transactions and reporting needs.
- Meticulous and detail-oriented.
- Proficiency in the using MS Office and ERP Web-based system.
- Knowledge on best practices for procurement or certified training in procurement area will be an added advantage.
2. HR ASSISTANT – 8 MONTHS CONTRACT
Key responsibilities:
- Provide support in recruitment activities of contractors
- Effectively source, plan and execute recruitment activities including drafting job vacancies on various job portals, screening resumes, practical arrangements for panels to conduct interviews, coordinating with the hiring managers and candidates
- Liaise with agencies for selecting contractors and issuing contracts
- Validate, review the Letters of Agreement for contractors before approval and signature
- Assist with managing and maintaining contractors account in multiple platform/system within the Organization (staff on arrival, extensions and on separation)
- Collect, check, validate, record monthly invoices with precision and attention to details to ensure timely and accurate processing
- Administer renewal, extensions of contractors in a timely manner
- Ensure contractor performance evaluations are conducted in a timely manner for extensions
- Contribute to the continuous improvement of the team
- Perform other related duties as required.
Functional knowledge & skills:
- Sound communication skills and fluency in English – good written and oral communications.
- Resilience – maintaining a positive attitude when faced with challenges and obstacles.
- Detail -oriented with good analytical skill and ability to work with numbers accurately and efficiently especially Microsoft Excel
- Apply a logical, rational and analytical approach to tackling issues
- Committed with a pro-active, can-do attitude.
- A team player with a high sense of responsibility, initiative, and good organizational skill.
Your experience includes:
- Minimum of 5 years of relevant working experience in the area of HR or
- 4 years with first level university degree or
- 3 years with relevant Advanced University degree.
