Positions:
1. HUMAN RESOURCE EXECUTIVE

Key Outputs
1. To assists the Manager, Talent Acquisition, and the Manager, Talent Development and Engagement in daily operations and administration.
Main Reponsibilities
Talent Acquistion (50%)
1. Assists the Manager, Talent Acquisition to post advertisement, screen CVs, and liase with hiing manager and candidates for interviews.
2. Ensure all documentations priors to interviews are complete and uploaded in shared drive.
3. Follow-up on reference check, offer letter, pre-employment medical check-up, account’s opening, job description and obtain offer acceptance via SignNow.
4. Email new joiners ‘Starter Pack’ prior to onboarding e.g. staff details form, tax declaration, policies and etc. In the absent of C&B colleague, the incumbent is responsible to collect.
5. Assist in obtaining supporting documents such as academic certificates, staff details, copy of NRIC, latest picture for ID card and etc prior to onboarding.
6. Update the New Joiner list in timely manner.
7. Compile all of the above and upload in the G-drive and shared with other P&C team members.
8. First day onboarding email to new joiner, Welcome New Panda pack.
9. Assist in coordinating and participate in career roadshow, job fairs and etc.
HR Administration (20%)
1. Upkeep resignation records and ensure HRIS is updated.
2. Prepare the digital version of employee’s files in shared folder.
3. Update paper based files in PJCC.
4. Update HRIS of all employee movements.
Performance Management (10%)
1. Provide administrative support and ad-hoc tasks as required.
2. Assist in developing and up-dating performance development/ improvement plan to handle the performance gap, if an employee does not meet the required performance level.
3. Compilation of KPIs (mid year and year end).
4. To assist in the compilation of employee year-end development dialogue.
Talent Development (10%)
1. To support the delivery of learning programs by sourcing, promoting, administering, and evaluating training programs and other initiatives.
2. Assist in conducting training needs analysis to determine staff’s development needs.
3. To assist learning programs are advertised on a timely manner and manage the training enrolment activities in an efficient and professional manner.
4. To assist in maintaining accurate training records and databases to meet compliance requirements or to produce relevant training reports as and when required.
5. To assist in payment matters including submissions for payments, balance of budget etc.
Staff Engagement (10%)
1. Assists the Talent & Engagement Manager in Employee engagement activities such as planning of events, conduct proactive communications to engage employees, coordination and participation of events planned and implemented.
2. Assist to update the annual calendar for employee engagement activities for WWF-Malaysia.
3. Supporting the action plans for staff satisfaction survey.
Specifications
1. At least three (3) years of related working experience in the field of human resources with a relevant degree, preferably in HR or related qualifications, unless sourced from within WWF-Malaysia.
2. Able to provide sound analytical, strong report and general writing skills, interpersonal and communication skills with all levels of staff.
3. A mature individual who is able to work with minimal supervision, resourceful, be a solution provider and keeps abreast with current issues.
4. Must be computer literate. Proficient with Microsoft Word, Excel and PowerPoint.
5. Possesses social media skills or a willingness to learn new media to engage with staff and must be able to write and speak well in both English and Bahasa Malaysia.
6. Good interpersonal skills, pleasant disposition, passionate, hard working, committed, pro–active, decisive and discreet individual. Must also be a dependable team-player.
7. A general understanding and appreciation of the nature of business and how WWF-Malaysia operates and its philosophy and also general knowledge in environmental and conservation issues.
8. Identifies and aligns with the core values of the WWF organization: Courage, Integrity, Respect & Collaboration.
